Worked Examples

Rate tables give you a range. These are three concrete briefs, the number we would quote for each, and the reasoning behind it.

Welcome Sequence Build

A five-email welcome sequence for a direct-to-consumer brand: copy, a responsive template, automation setup in the client platform, and subject line variants for testing.

$4,000

Copy is about half. The responsive template is a genuine build — email HTML must survive clients that render it differently, and testing across them takes real time. Automation setup means triggers, conditions and exclusion rules, which is configuration work with a real failure cost if it is wrong.

Monthly Campaign Management

Four campaigns a month for an ecommerce list of 40,000: strategy, copy, design, segmentation, send scheduling, deliverability monitoring and a monthly performance report.

$4,500/month

Segmentation at this list size is where the value is — four well-segmented sends outperform twelve generic ones. Deliverability monitoring is an ongoing obligation rather than a task. Reporting is what renews the retainer, so treat it as a deliverable and not an afterthought.

Platform Migration and Rebuild

Move a 90,000-contact list to a new platform: data migration, list hygiene, rebuilding twelve automations, template system rebuild, and deliverability warm-up.

$15,000

List hygiene and warm-up are the lines clients do not expect and cannot skip — sending to a stale list from a new domain damages deliverability for months. Rebuilding twelve automations means re-specifying logic that was never documented. Quote discovery separately before committing to the rebuild figure.

Factors That Affect Pricing

These factors most influence email marketing pricing.

Copy vs. Send-Only

Some clients need full copywriting + design + strategy. Others have copy ready and just need execution. Be explicit about whether your rate covers copywriting, design, strategy, and reporting — or just deployment.

List Size & Segmentation

Managing a 500-person list with one segment is far simpler than a 100,000-person list with complex behavioural segmentation and A/B testing. Price based on list complexity, not just subscriber count.

Platform Complexity

Setting up a simple Mailchimp broadcast is different from configuring Klaviyo flows with conditional logic, custom properties, and Shopify integration. Platform-specific expertise commands a higher rate.

Automation Buildout

Building automated sequences (welcome series, abandoned cart, re-engagement) is a one-time project that delivers ongoing value. Price automation buildouts as projects, separate from monthly management.

Strategy & Analytics

Clients paying for strategy get campaign planning, A/B test design, and monthly performance analysis. This is higher-value work than execution-only. Price it separately if you offer both tiers.

Reporting Cadence

Weekly performance updates, open rate / click rate benchmarking, and list health monitoring all take time. Include your reporting cadence in your retainer scope and factor the hours into your rate.

What to Put in the Quote

Most scope disputes start with a line the quote never mentioned. Name what the price covers, and name what costs extra, before the work starts.

Include in the base price

  • The number of emails and the sequences or campaigns they belong to
  • Copy, subject lines and preview text for each email
  • A responsive template tested across the major email clients
  • Automation logic: triggers, conditions, delays and exclusion rules
  • Segmentation rules applied to each send
  • A named number of revision rounds per email or per campaign
  • A performance report against metrics agreed at the start

Charge separately for

  • Email strategy, lifecycle mapping and audience research
  • Custom template design beyond the agreed system
  • Platform migration, data cleaning and list hygiene
  • Deliverability remediation, domain authentication and warm-up
  • A/B and multivariate test design, running and analysis
  • Landing pages, forms and lead magnets referenced by the emails
  • Additional sends added after the scope is agreed
  • Integration work between the email platform and other systems

Pricing Mistakes to Avoid

The four errors that cost freelancers the most money on this kind of work.

1

Pricing Per Email

The first email in a sequence sets voice, structure and the argument every later email builds on, and it can take three times as long as the last. A flat per-email rate underprices the start of a sequence and overprices the end. Price the sequence as a unit.

2

Ignoring Deliverability Until It Breaks

Authentication, list hygiene and sending reputation determine whether any of your work is seen. Freelancers who scope only copy and design get blamed for results that were never a copy problem. Audit deliverability before quoting a campaign retainer, and quote remediation separately if it is needed.

3

Building on an Undocumented Account

Existing email accounts are full of legacy automations, orphaned segments and rules nobody remembers writing. Quoting a rebuild without auditing that is how a fixed price becomes a loss. Sell a paid audit first, then quote the build against what you actually found.

4

Reporting on Opens Alone

Open rates became unreliable once mail clients started prefetching images, and a retainer defended on opens is a retainer waiting to be cancelled. Agree metrics that tie to revenue — clicks, conversions, revenue per send — at the start, while you still have the choice.

The Email Marketing Market in 2026

Email has gained ground as social reach became less predictable and paid acquisition costs rose. An owned list is one of the few channels a business fully controls, and budgets have moved accordingly. That has been good for freelance email specialists, particularly those who can speak to revenue rather than to engagement.

Deliverability has simultaneously become stricter. Major providers now enforce authentication and complaint-rate thresholds that were advisory a few years ago, and a poorly maintained list can be effectively cut off. Freelancers who understand authentication, segmentation hygiene and sending reputation are charging a clear premium in 2026, because the cost of getting it wrong has risen sharply.
